KGNA Solutions is looking for a talented and dynamic person to fill the role of Proposal Coordinator for Paradise Show/Launch Group. This is an opportunity to work in an environment that is extremely fast paced, and ever changing. Truly no two days are the same.

We’re experts in large-scale lighting, sound, video and scenic design and build – but never too big to focus on the details of small programs and events.

For example, designing the big-name entertainment sound and lighting requirements directly into the business meeting, evaluating environments using floor plans and elevations, incorporating business meeting support or special event and hospitality program support. We use our planning intelligence to seek economies of scale and cost savings wherever possible. 


The Proposal Coordinator will contribute to the execution of Paradise Show/Launch Group’s companywide strategies while supporting the Company’s mission, vision and values through all that he/she does on a daily basis.

The primary role of the Proposal Coordinator is to act as direct support to the Sales Manager as a technical writer, creating job proposals utilizing applicable Software programs. The Proposal Coordinator will be task oriented and also support the President & Owner in accomplishing administrative tasks as assigned.  


The Proposal Coordinator will ideally have an event/production background and possess the ability to generate Staging proposals from our Production Inventory in real time. A firm grasp of Excel to identify and generate production crew spreadsheets based on Production Schedules, supporting budgetary planning They must be able to approach their work from a multidimensional perspective and thrive working in an environment where there is constant change on a daily and sometime hourly basis. 


  • Creating outlines, building templates, proofreading, preparing review drafts and final editions, scheduling meetings and tracking the completion of assignments.
  • Identify areas of concerns, potential problems, and questions to be answered.
  • Schedule and manage kick-off meeting to discuss proposal requirements and to ensure all timelines and actions are agreed to and met in accordance with customer deadlines
  • Conduct risk analysis and contingency planning.
  • Prioritize tasks and estimate how much time they will take so that they are completed on schedule.
  • Organize and categorize information and assignments so that it is easy for others to understand.
  • Communicate diplomatically with team members on the phone, in-person, over email, etc...
  • Improve the processes and tools we use over time, resulting in each proposal being easier and stronger than the one before.
  • Preparing presentation materials.
  • Project management of small to large internally-focused projects like data management, data analysis and report writing.
  • Timeline and project plan creation and tracking.
  • Note-taking and task management including tracking next steps, assigning tasks, and following up to ensure completion.
  • Attending project meetings taking notes and organizing them into a useful set of key ideas and actions after the meeting.
  • As possible, working with project teams to create strong first drafts and revisions .
  • Spur of the moment research requests to support last minute client or team needs.
  • Drafting, proofreading or formatting documents, presentations, proposals and other materials as assigned.
  • Creating visually-pleasing page layouts
  • Develop and maintain proposal schedules and be able to support multiple proposals in parallel.
  • Skilled and proficient desktop publisher, who is hands-on in developing company templates and frameworks, and propose content and graphics concepts.
  • Review and edit technical input for grammar and clarity. Revise and improve technical content.
  • Track and monitor the flow of all documents, from inception to distribution of final copies.  Identify and correct problem areas as they arise.
  • Provide a quality assurance check for all documents.
  • Develop and maintain corporate proposal generation tools, templates, etc.
  • Build effective working relationships with team members, while supervising authors to ensure sections are compliant and illustrate an understanding of the requirements.


  • Preferred but not required - Bachelor of Science degree, preferably in English, Journalism, Communications, Marketing, Technical Writing, Mass Media or other related fields, or combination of education and relevant experience.
  • Minimum 2 years of proposal writing/marketing experience in entertainment, hospitality or event production industries.
  • Proficiency with MS Office Suite products, including Word, Excel, PowerPoint, Outlook.
  • Ability to learn proprietary Software – R2 to support proposal writing.
  • Auto Cad skills a bonus
  • Proficiency with Illustrator and Photoshop, preferred.
  • At least intermediate level user in Excel.
  • Successful candidates must be customer-service oriented, technically savvy, and organized.
  • Self-motivated, good organizational skills, detail-oriented, ability to prioritize, multi-task and meet deadlines
  • An effective communicator, both written and oral
  • Ability to communicate in a professional manner with internal and external clients
  • Demonstrates initiative and follow-through
  • MS Office and email proficiency
